What is ledger posting?

Ledger posting is the step after journal entries. Each debit and credit recorded in the journal is copied into its own account in the ledger, so that all transactions affecting cash, sales, a customer or any other account are gathered in one place.

The journal records transactions in date order. The ledger reorganises them by account, which is what makes it possible to find a balance.

What is a T-account?

A T-account is the simple layout used to teach ledger accounts. Debits go on the left, credits on the right, and the account name sits across the top.

SideIncreasesDecreases
Debit (left)Assets, expenses, drawingsLiabilities, capital, income
Credit (right)Liabilities, capital, incomeAssets, expenses, drawings

Real ledgers use a running balance column, but T-accounts show the logic more clearly.

Worked example: posting and balancing cash

Transactions: owner invests 50,000 cash; pays rent 2,000 cash; cash sales 8,000; buys equipment 10,000 cash.

Cash account

DebitAmountCreditAmount
Capital50,000Rent2,000
Sales8,000Equipment10,000
Balance c/d46,000
Total58,000Total58,000

Balance b/d on the debit side = 46,000.

Check: 50,000 + 8,000 − 2,000 − 10,000 = 46,000. The balance is a debit, which is correct, because cash is an asset.

How do you balance an account?

  1. Add both sides separately.
  2. Find the difference between them.
  3. Enter that difference on the smaller side as 'Balance c/d', so both totals match.
  4. Write the totals on the same line, usually underlined.
  5. Bring the balance down on the opposite side as 'Balance b/d' for the next period.

The balance carried down always goes on the side that makes the totals equal, and it comes back down on the other side.

What is the trial balance?

The trial balance lists every ledger account's closing balance in debit and credit columns. The two columns should agree, which checks the arithmetic of double entry.

It does not prove the accounts are correct. A trial balance still balances if a transaction was omitted entirely, posted to the wrong account of the same type, entered with the same wrong figure on both sides, or where two errors cancel out.

Where do students lose marks?

  • Posting both halves of a transaction to the same side.
  • Putting the balance carried down on the wrong side.
  • Forgetting to bring the balance down for the next period.
  • Assuming a balanced trial balance means no errors exist.
  • Mixing up the drawings and capital accounts.

Before this, see journal entries and the accounting equation. For the wider subject, see accounts assignment help.

Ledger posting tutoring: frequently asked questions

What is ledger posting in accounting?

Ledger posting is the transfer of entries from the journal into individual ledger accounts. Each debit and credit is recorded in the account it affects, so that every transaction touching that account is gathered together and a closing balance can be calculated.

What is the difference between a journal and a ledger?

The journal is the book of first entry and records transactions in date order with their debits, credits and a narration. The ledger groups those same entries by account. You post from the journal to the ledger, then use ledger balances to prepare the trial balance.

What is a T-account?

A T-account is a simplified ledger account shaped like the letter T, with the account name on top, debits on the left and credits on the right. It is used for teaching and for quick workings, because it makes the two sides of double entry easy to see.

Which side is debit and which is credit?

Debit is always the left side of an account and credit the right. Assets, expenses and drawings increase with a debit; liabilities, capital and income increase with a credit. The words do not mean good or bad, which is a common early misunderstanding.

How do you balance a ledger account?

Total both sides, find the difference, and enter it on the smaller side as balance carried down so the totals agree. Rule off the totals, then bring the figure down on the opposite side as balance brought down, ready for the next period.

What does balance c/d and b/d mean?

Balance c/d means balance carried down, the figure entered to make both sides of the account equal at the period end. Balance b/d means balance brought down, the same figure shown on the opposite side at the start of the next period.

What is a trial balance?

A trial balance lists the closing balance of every ledger account in debit and credit columns at a given date. Because every transaction has equal debits and credits, the two column totals should agree, which provides an arithmetic check before preparing financial statements.

Does a balanced trial balance mean there are no errors?

No. Several errors leave it in balance: complete omission of a transaction, an entry posted to the wrong account of the same type, the same incorrect amount on both sides, reversal of entries, and compensating errors that cancel out. These are often examined directly.

What is a control account?

A control account summarises many individual accounts, such as a sales ledger control account covering all customers. Its balance should agree with the total of the individual accounts, which provides a check and helps locate errors in a large ledger.

What is a contra entry?

A contra entry appears on both sides of the cash book, such as cash paid into the bank, where cash decreases and bank increases. It is marked with a C because both sides of the double entry fall within the same book, so no other account is involved.

What is a subsidiary ledger?

A subsidiary ledger holds the detail behind a control account, such as individual customer or supplier accounts. It keeps the main ledger manageable while preserving detail. The total of the subsidiary ledger should equal the control account balance in the main ledger.

How do I find an error if the trial balance does not agree?

Check the difference for clues: a difference divisible by nine often indicates transposed figures, and a difference equal to twice an amount suggests an entry posted to the wrong side. Then recheck additions, balances carried down and postings from the journal.

What is a suspense account?

A suspense account temporarily holds a difference when a trial balance does not agree, so that statements can be drafted while errors are investigated. It is not a real account and must be cleared once each error is found and corrected by journal entry.

What comes after ledger posting?

After posting and balancing, you prepare the trial balance, then make adjusting entries for items such as accruals, prepayments and depreciation. From the adjusted figures you prepare the income statement and balance sheet, so errors here carry through to the final accounts.

Can a tutor help with ledger posting questions?

Yes. A one-to-one tutor can work through postings, balancing and trial balance questions with you and show you how to trace errors. You then complete your own practice and assessed work in line with your course rules. Lessons are online and follow your syllabus.
